Important Voting Informations
The 2006 Municipal Election will take place on Monday, November 13, 2006. Council has
approved Vote By Mail as the alternative method of voting.
Some Useful Definitions:
Vote By Mail Kit
- means all required material necessary to vote which is mailed to the elector by DataFix and the Township. Each kit will contain a ballot, instructions for completing the ballot, a Voter Declaration Form, a white inner ballot envelope and a yellow business reply envelope.VOTE BY MAIL PROCEDURE
a) The Vote By Mail kits will be printed and mailed through the Township’s contract with DataFix. Ballots will be prepared in conjunction with Dominion Voting Systems in order to ensure that they meet the specifications required for counting using optical scan tabulators.
b) With the assistance of DataFix, the Township of Tiny will provide a Vote By Mail kit to each person who qualifies to be an elector up to the close of voting on November 13, 2006 at 8:00 p.m.
c) The Vote By Mail kit will consist of:
- one voting instruction sheet;
- one composite ballot;
- one inner ballot envelope white;
- one bar coded Voter Declaration Form;
- one outer return envelope yellow with prepaid postage; and
- other such necessary material as the Clerk determines.
d) During the week of October 17, 2006, DataFix will mail a Vote By Mail kit to every elector who qualified to be on the voters’ list, up to October 6, 2006, to the electors’ address as shown on the voters’ list.
e) The Clerk will mail a Vote By Mail kit to every person qualified to be on the voters’ list who has been added between October 6, 2006 and October 24, 2006.
f) The Clerk will provide a Vote By Mail kit for pick up at the Township Office to every person qualified to be on the voters’ list who has been added between October 24, 2006 and November 13, 2006 at 8:00 pm.
g) Upon receipt of the Vote By Mail kit, each elector should follow the exact instructions provided in the voter kit. These instructions require the elector to:
1. Complete the ballot;
2. Insert the ballot into the white inner ballot envelope secrecy envelope;
3. Seal the white inner ballot envelope secrecy envelope
4. Complete the Voter Declaration Form;
5. Place the completed Voter Declaration Form and the white inner ballot envelope into the yellow business reply envelope;
6. Seal the yellow business reply envelope ensuring the Township mailing address appears in the window of the envelope.
7. Mail the yellow prepaid business reply envelope by November 3, 2006. The yellow prepaid business reply envelope may be mailed or may be delivered to the Township office and deposited in the ballot box. Ballot packages mailed in Canada are prepaid.
h) The final recommended day to deposit the ballot package in the mail for delivery to the Clerk is November 3, 2006. Following this date, voters are encouraged to deposit their ballot package at the Township Office.
i) Ballot packages may be deposited in a ballot box at the Township office during regular business hours up to November 13, 2006 at 8:00 p.m.
j If a voter does not receive a Vote By Mail kit or all the contents of the kit, or if the kit is destroyed or if the ballot has been incorrectly marked, a replacement kit will be provided. The voter may visit the Township Office or request verbally or in writing that a replacement kit, or part of a kit, be forwarded. The Township will provide the replacement kit either in person at the Township Office or cause it to be mailed if time permits. The voter will complete a Replacement Ballot Application and it will be noted by the Clerk that a replacement kit was issued.
k) A Voting Booth will be available for electors who wish to cast their vote at the Township office.
